- Keep file names to less than 30 characters total (including the 4 or 5 characters for the dot-extension e.g., TempFile.doc has 12 characters, even if you only see the first 8 on a PC).
- Use only letters, numbers and the underscore (_) character, but start the file name with a letter or number. Note that the underscore can get lost in the underline on printed pages (being mistaken for the space, which should not be used in the name). As an example, the a link to the file "my_web_page.html" would show up as my_web_page.html when printed, and typing in the URL with spaces instead of underscores would result in a File-not-found (404) error.
- If not using underscores for separation, use first letter capitals for each item (e.g., my_web_page.html vs. MyWebPage.html) to increase readability.
- If including the date in the file name (e.g., for versioning purposes), use the year first convention of either YYYYMMDD or YYMMDD. In this way, a sort by name (all other things equal) will also sort by date. Using this in combination with a serial lettering convention provides single day, multiple versioning capabilities. As an example, MySharedFile060217c.doc would be the third version of the file edited on February 17, 2006. The serial lettering can also be kept independent of the date.
